File Preparation

  1. Prepare file using Microsoft Excel in the same format as the following file - Import Records Template.xlsx

  2. Use the following format rules when populating the data in the Excel file

    • Date - Indicates the date that the animal data element and value was recorded for the animal

      • Must be in the following format -dd/mm/yy

      • Must not be prior to year 2006 or exceed current date that import is attempted

    • Time - indicates the time that the animal data element and value was recorded for the animal

      • Must be in the following format - hh:mm:ss​

      • Must not exceed 23:59:59

    • EID - indicates the EID number assigned to the animal's RFID tag

      • Must be 15 digits long

      • No spaces between digits

    • Visual Tag Number - the visual number printed on the Animal's tag

      • Up to 20 characters long​

      • Allows spaces

    • VID Year - the year associated with the animal's Visual Tag

      • 9999 (indicates unknown) and years 2007 through 2019​

    • Animal Type - Cattle, Deer or Sheep

    • Tag Colour - the color of the animal's tag

      • Acceptable values: Black, Blue, Brown, Clear, DarkBlue, DarkGreen,  DarkPink,  DarkPurple, Grey, Green, LightBlue, LightGreen,  LightPink, LightPurple, Orange, Pink, Purple, Red, Salmon, White or Yellow​

    • Data Element & Value

      • Click here for a file containing data standards for all data elements and values

  3. Required information for any record:

    • Date

    • Time

    • Either

      • An EID and Animal Type​ OR

      • An EID and unique combination of Visual Tag Number + VID Year + Animal Type

    • Data Element Name & Value

    • Optional (Tag Colour)

  4. Maximum number of rows per import file: 5,000

  5. Save the worksheet as a Comma Separated Values (.csv) file format with a file name & location on your system you will remember
